Client work changes hands. Context stays.
In an agency, client work moves between account managers, designers and writers all the time, and most of all before holidays. Each move costs a briefing, and the client notices when something was lost.
What gets handed off
- The client brief, the latest feedback and the files in progress
- Deadlines, budgets and who approves at the client, recorded as facts
- What was agreed on the last call and what the client is still waiting for
- Holiday cover: everything a colleague needs for the weeks you are away
“Send this to Mark — he’ll know what to do with it.”
What the recipient gets
- A notification in their browser or on their phone: who sent it, which client and by when
- A case with the summary, the facts and the files, plus the client’s earlier handoffs
- Forwarded work that keeps its full history, so the third person sees what the first two did
- The option to accept, to return it with a reason (“the final logo files are missing”), or to mark it done
Why it matters for agencies teams
Time back on every handover
One sentence to your assistant replaces the holiday handover document, the chain of forwarded emails and the briefing call on your last afternoon before leave.Nothing slips while you are away
Every handoff has an owner, a status and a deadline. If the client’s deadline passes without a response, it shows as overdue, so the cover never misses it.Client knowledge stays with the agency
Briefs, decisions and feedback stay in the case, not in one person’s chats. Cases in an open space are readable by the whole company, so the next account manager starts with the full picture.
What it could be worth
What is it worth to your team?
Move the sliders to match your team. The starting values are deliberately modest.
people × handoffs × minutes saved × 4.33 weeks ÷ 60 × hourly cost
An estimate from your own numbers, not a promise. In the pilot we measure it on your real handoffs.
Measure it in the pilotQuestions
Can I send work to a team instead of one person?
Yes. Send it to a space, for example “design”. Every member except you is notified and one of them picks it up. A handoff to a named person is seen only by you and the recipients.
What if my colleague uses ChatGPT and I use Claude?
That works. A handoff sent from Claude can be picked up in ChatGPT and the other way round. Sending from ChatGPT needs a ChatGPT Business or Enterprise plan. Copilot and Gemini are coming soon.
Can some clients be visible only to one team?
Yes. Put that client’s work in a closed space, where only its members see the cases. Cases in open spaces are readable by the whole company, but only members get the notifications.
