Seven ways to hand off work between your team's AI assistants
There are seven common ways to pass AI work to a colleague today. A share link shows a conversation; a shared project or knowledge base gives everyone the same material; a handoff gives one person a task with its files, a deadline and a status. Pick by what the next person has to do.
The short answer
If a colleague only needs to see a conversation, a Claude share link is enough. If a whole team works from the same material every day, use a shared ChatGPT or Claude project, or a knowledge base such as Hjarni. If one person has to take over a task — with the files, the deadline and someone knowing whether it was accepted — you need a handoff. Colle is built for that last case, and it is not the best fit for the other two.
Side by side
| Way | What it is for | Who sees it | Files | Recipient notified | Status and deadline | Works across assistants | Price |
|---|---|---|---|---|---|---|---|
| Claude share link | Showing a chat as it was | People with the link; on Team and Enterprise only your organisation | Attached files not included | Not public | No | Claude only | Not public |
| ChatGPT shared project | A shared workspace for a team | Members with chat access see the project's chats and files | Up to 40 files in Business, Enterprise and Edu projects | Not public | No | ChatGPT only | Not public |
| Claude project | Shared knowledge and instructions | Visibility chosen when it is created; “Everyone at your organisation” on Team and Enterprise | Not public | Not public | No | Claude only | Not public |
| Claude Tag | One shared Claude in a Slack channel (beta) | Anyone in the channel can tag @Claude | Not public | Not public | Not public | Claude only | Channel work billed to the organisation |
| Hjarni | A hosted Markdown knowledge base AI reads and writes | Shared folders with viewer, editor and admin roles | Notes; export to Markdown | Not public | No | Claude and ChatGPT | $20 per seat per month (Teams) |
| Handover | Shared, versioned context for people and coding agents | Its own workspace | Not public | Not public | Version history | Claude Code, Codex, Cursor, Gemini CLI | Not public |
| Colle | Handing a task to a named person or a team space | The sender and the recipients; a space's members | Originals up to 25 MB | Yes, in about 0.2 s | Accepted, returned, done, overdue; due dates | Claude and ChatGPT | €15 per active person per month |
“Not public” means the sources below say nothing about it, not that the answer is no.
When to choose each one
Claude share link
Choose it to show someone how you reached an answer. The link is a snapshot up to the moment you shared: later messages stay private and attached files are not included, so the other person cannot carry on with your files.

ChatGPT shared project
Choose it when a small team works from the same files and instructions every day. Members with chat access can see and use the project's chats, files and instructions, and members with edit access can also change them and invite others. That openness is the point — and the thing to check before you share.

Claude project
Choose it for knowledge and instructions that a group reuses. On Team and Enterprise plans, visibility is chosen when the project is created, and a project shared with everyone appears in the organisation's Team section.

Claude Tag
Choose it when a team wants one Claude that anyone in a Slack channel can ask. It was announced on 23 June 2026 as a beta for Team and Enterprise plans, replaced the older Claude in Slack app, and its channel work is billed to the organisation.

Hjarni
Choose it for knowledge that should outlive any single task — runbooks, decisions, how things are done. Claude and ChatGPT read and write it through its MCP server; teams share folders with roles, and the Teams plan is $20 per seat per month.

Handover
Choose it if your work happens with coding agents. Handover keeps shared, versioned context for people and agents such as Claude Code, Codex, Cursor and Gemini CLI, in its own workspace.

Colle
Choose it when a task changes owner. You tell Claude or ChatGPT “send this to James”; James is notified at once and his own assistant gets the summary, the facts and the files. You see whether he accepted, returned or finished it, and work sent to a person stays between the two of you. It does not replace a knowledge base or a shared project, and it can sit next to either.
A decision tree in words
- Does the other person only need to read what happened? Use a share link.
- Will a group keep working from the same material? Use a shared project or a knowledge base.
- Does one person or team need to take over a task with files and a deadline, and do you need to know it was picked up? Use a handoff.
- Do people on your team use different assistants? Check the “Works across assistants” column first.
