# Hand over an account with the call notes

When an account moves from one rep to another, or from sales to customer success, the call notes and the relationship stay with the person who leaves. The client then explains everything again.

## What gets handed off

- Your call notes and the latest proposal, as files with a short description you can search by

- Who decides, recorded as a fact, for example “Decides: Lina K., CFO”

- The deal value, the renewal date and what was promised

- Objections raised so far and the agreed next step

Example: “Send James my call notes, he takes over the Nordlit account.”

## What the recipient gets

- A notification in their browser or on their phone: who sent it, which account and by when

- A case with the summary, the facts (decision maker, deal value, renewal date) and the files

- The history of the account’s earlier handoffs, so the new owner knows who said what

- The option to accept, to return it with a reason (“the latest pricing is missing”), or to mark it done

## Why it matters for sales teams

- **Time back on every account change** One sentence to your assistant replaces the handover document, the CRM notes nobody reads and the internal call before the first client meeting.

- **No client hears the same question twice** The new owner sees who decides, what was promised and the next step. If the next step has a deadline and it passes, the handoff shows as overdue to both of you.

- **The relationship stays with the company** Call notes, decisions and the people involved stay in the case when a rep moves to another territory or leaves. The next person picks up where the last one stopped.

## Questions

### What if I use Claude and customer success uses ChatGPT?

That works. A handoff sent from Claude can be picked up in ChatGPT and the other way round. Sending from ChatGPT needs a ChatGPT Business or Enterprise plan.

### Does this replace our CRM?

No. Colle hands the context of an account from one person’s AI assistant to another’s. Your CRM, email and Slack stay as they are, and the case keeps the notes in one place.

### What if there are two people called James?

Your assistant asks which one you mean, for example “James Clarke (Sales) or James Patel (Customer Success)?”, before anything is sent.
