# Send an invoice on with the deadline attached

Invoices reach the wrong inbox, wait for an approval nobody knew about, or arrive without the context needed to pay them. Then someone asks “is this the final amount?” on the day it is due.

## What gets handed off

- The invoice itself, as the original PDF, with a description such as supplier, period and amount

- The amount and the due date, recorded as facts

- Who approves it and what it relates to, for example a contract or a project

- Anything unusual, such as a changed amount or a partial payment, in a short summary

Example: “Send James this invoice, pay by Friday.”

## What the recipient gets

- A notification in their browser or on their phone: who sent it, which invoice and by when

- A case with the summary, the facts (amount, pay by Friday) and the invoice

- A search across the cases they can access, so last quarter’s invoice from the same supplier is easy to find

- The option to accept, to return it with a reason (“the VAT number is wrong”), or to mark it done

## Why it matters for finance teams

- **Time back on every approval** One sentence to your assistant replaces the forwarding email, the reminder a few days later and the question about which version of the invoice is current.

- **No payment slips past its date** Every handoff has an owner, a status and a deadline. If Friday passes without a response, it shows as overdue to both of you. If the amount changes, the old figure stays in the fact’s history.

- **The paper trail stays with the company** Invoices, approvals and comments stay in the case. When someone is on holiday or leaves, the next person finds them by supplier, period or amount.

## Questions

### Does Colle pay the invoice?

No. Colle hands the invoice and its context to the right person in their AI assistant. The payment itself still happens in your bank or accounting system.

### Can I find an old invoice later?

Yes. Every file has a short description, and you can search by keyword or by meaning across the cases you can access, for example “Nordlit invoice for March”.

### Who can see the invoices?

A handoff to a person is seen only by the sender and the recipients. Finance can use a closed space, where only its members see the cases. Data is stored in the EU, in Frankfurt.
