# From “send this to James” to done.

You tell Claude or ChatGPT who should take the work and what it is. Colle writes the handoff into a case with the summary, the key facts and the files, your colleague gets a notification in about 0.2 seconds, and their own assistant carries on from there.

## Three steps

01. **Tell your assistant.** Say who and what, in plain words. Claude finds the right colleague, writes the summary and attaches the file.

02. **Your colleague knows instantly.** A notification pops up in James's browser: who sent it, what it is, and by when. One click to accept.

03. **Their assistant carries on.** James asks his own Claude “what did I get?” and keeps working with the full context — facts, files and history.

## What travels with the work

- **A summary:** Your assistant writes what the work is and what is left to do, in plain words.

- **Facts with history:** Deadlines, amounts, decisions and owners are stored as facts. Every change is versioned, and conflicting edits are flagged to both people.

- **The files:** Originals up to 25 MB go up through a secure upload link, each with a description your team can search by later.

- **The history:** Who sent what to whom, who accepted it and when: it all stays in the case.

## What the recipient can do

- **Accept:** One click in the notification. The sender sees it at once.

- **Return with a reason:** “The signed page is missing.” The work goes back with the comment.

- **Mark it done:** The case keeps the result and the whole history.

- **Recall:** Sent to the wrong James? The sender recalls the handoff.

- **Overdue is flagged:** Work that passes its deadline shows as overdue to both sides.

- **Hand off to a team:** Send work to a space and every member except you is notified; one of them picks it up.

## Setting it up

In the pilot we do this with you in one call.

1. An administrator creates your company in Colle and invites people by email.

2. Everyone adds the Colle connector to their own Claude or ChatGPT and signs in.

3. People choose how they hear about new work: browser and phone notifications, or pop-ups from the Colle Chrome extension.

## Questions about how it works

### Do both people need the same assistant?

No. Colle works with Claude and ChatGPT, and a handoff can go from one to the other: Mark can send from Claude and Rachel can pick it up in ChatGPT. Microsoft Copilot and Gemini are coming soon.

### Which ChatGPT plan do we need?

Sending handoffs from ChatGPT needs a ChatGPT Business or Enterprise plan. Each person keeps their own subscription.

### What if the name is ambiguous?

Your assistant asks before it sends. Say “send to Rachel and Tom” with two Toms in the company, and it asks: “Which Tom — Tom Jenkins (Sales) or Tom Walker (Legal)?”

### How big can files be?

Originals up to 25 MB each, through a secure upload link. Every company gets 10 GB of storage plus 1 GB per person.

### Can I send work to a whole team?

Yes. Send it to a space: every member except you gets the notification, and one of them picks it up. Work sent to a person stays between the two of you.
